TERMS AND CONDITIONS
By confirming a booking with Aromatic Expeditions, you agree to the following terms:
1. BOOKING & PAYMENTS
- A deposit of 30% is required to confirm the booking.
- The balance must be paid at least 30 days before arrival
- Bookings made within 30 days of travel must be paid in full immediately.
2. CANCELLATIONS & REFUNDS
- Cancellations 60+ days before travel: 90% refund of total paid.
- 30–59 days before: 50% refund.
- Less than 30 days: no refund.
- Bank charges and transaction fees are non-refundable.
3. CHANGES BY CLIENT
- Date or itinerary changes must be requested in writing.
4. CHANGES BY AROMATIC EXPEDITIONS
- Aromatic Expeditions reserves the right to make itinerary adjustments due to weather, safety, or local conditions.
- If major changes occur, clients will be notified and offered alternatives.
- Whenever rates are affected by changes in Government local taxes, fuel surcharge, entrance fee of some attraction areas or other unforeseeable circumstances, the company reserves the right to increase the rates accordingly.
5. TRAVEL INSURANCE
- Clients are strongly advised to have comprehensive travel insurance covering medical, trip cancellation, and baggage loss.
6. MEDICAL CONDITIONS
- Clients with health conditions must complete a medical form.
- Aromatic Expeditions must be informed of allergies, mobility issues, or other needs before travel.
7. CLIENT CONDUCT & COMPLIANCE OBLIGATIONS
- Client must act responsibly, conforming to all local legal and custom norms. Unlawful or disruptive behaviors are strictly prohibited.
- During the client’s travel, respecting and adhering to the local regulations and cultural norms example dressing modesty in conservative areas is important
8. CHILD POLICY
- Children under 18 must be accompanied by a responsible adult.
- Child discounts may apply based on age and tour type.
9. CONSENT & LIABILITY WAIVER
- Client agree to participate in the tour organized by Aromatic Expeditions and confirm that he/she has disclosed all relevant health information and understand the nature of the activities.
- Client acknowledge that some activities involve inherent risks, including but not limited to wildlife encounters, hiking, and transport in remote areas.
- Client release Aromatic Expeditions, its employees, guides, and partners from liability for any injury, loss, or damage incurred during the tour except in cases of proven negligence.
- Client authorize Aromatic Expeditions to provide or arrange emergency medical treatment if necessary.
- Aromatic Expeditions will assist in emergencies but are not responsible for costs unless caused by our negligence.
10. FORCE MAJEURE
- Aromatic Expeditions are not responsible for events beyond our control, including natural disasters, pandemics, strikes, or government actions.
11. DISPUTES
Any complaints or disagreements about reservations, accommodation, food or any issue relative to the company must be reported and recorded in writing accordingly. Failure to do so will result in the company taking no responsibility or action.
12. GOVERNING LAW
This agreement is governed by the laws of the United Republic of Tanzania.
